Overview

The two-way integration between Quotations (Sales Orders) in Sage Sales Management (SSM) and Sage 50 UKI Accounts allows users to:

  • Create and manage quotations in SSM.

  • Synchronise them with Sage 50 UKI for pricing, validation and tracking.

  • View Sales Order data from Sage 50 UKI directly within SSM.

This article outlines the synchronisation processes in both directions, including quotation status logic and available update mechanisms.


Synchronisation from SSM to Sage 50 UKI

Draft Status Requirement

To be eligible for synchronisation, a quotation must be in Draft status.
Once a quotation is synchronised and marked as final, it becomes read-only in SSM.


Manual Synchronisation

Users can manually trigger synchronisation without waiting for the automatic cycle by:

  1. Editing the quotation in SSM.

  2. Setting the field "Final Synchronisation with Sage" to YES.

  3. Saving the quotation — this immediately initiates the sync with Sage 50 UKI.


Mass Updates (Advanced Use)

For scenarios requiring multiple records to be updated at once (e.g. structural changes, new field mappings), a custom batch synchronisation table can be configured.

  • This functionality is typically used during integration upgrades or deployment of new features.

  • Technical support or implementation teams should oversee this process.


⚠️ Important Notes

  • Mass updates must be carried out with caution.

  • Some fields in the SSM interface may be read-only or not mapped to Sage 50 UKI.

  • Attempting to update these fields in bulk may lead to unexpected behaviour or failed synchronisations.

  • Before applying mass changes, ensure that all relevant fields are supported by the integration and confirmed by your implementation team.
