Define a potential sale with Opportunities in ForceManager

What is an Opportunity?

An opportunity can be defined as a deal, a potential sale with a client. For example, you can create an opportunity when offering a new product or service to a potential or existing customer.

How to view and filter opportunities?

By default, when you access the Opportunities menu, you see all your opportunities ordered by distance in a list format. You can add any filters you need and sort by other aspects by clicking on the filter icon.

For example, you can filter by status, in this case, we’ll select “First Visit” and sort by “expected sale date”. Finally, click “Apply” to apply the changes.

Moving to the next tab, you can view opportunities in a pipeline view. You will see a summary of all your opportunities grouped by status. For example, you have five opportunities in the “first visit” status with a sales forecast of €6820 and an average value of €2900.

How to add an opportunity?

You need to click on the “plus” button and then fill out the Opportunity form:

• First, indicate the name of the opportunity,

• Then, the type of opportunity

• The status of the opportunity

• Select the “probability of sale”. The probability of sale is a subjective measure because it indicates the percentage with which you think you will be able to close the deal. The application will automatically create the weighted amount based on this percentage and the total amount you can earn.

• You can also indicate the currency and the expected sale date.

• Additionally, an opportunity can be linked with up to three ForceManager accounts or none.

• Finally, add any comments you need and click “Add” to save the opportunity.

As you can see, there are not many mandatory fields when creating an opportunity, but we recommend you fill out all possible fields and keep this data updated as a best practice.

What is an opportunity file?

Once an opportunity is created, you can access its file to review or modify the information. By default, you will access the General Information tab within which there are several options available:

• First, you can share the opportunity with a ForceManager contact or via email.

• By activating the flag icon, you can follow the opportunity to receive notifications about all changes made to this opportunity.

• From the pencil, you can edit the details of any opportunity. It is essential to update this information, particularly the following fields: status, probability of sale, total amount, and expected sale date.

• You can also change the status of the opportunity.

• Finally, you can switch to other related menus, such as the activities menu, to see all activities, events, and reminders to complete as well as documents related and specific to this opportunity.

As you can see, you can have a complete and detailed view of all your potential sales.

Configuring Opportunities in the ForceManager APP

Next, we will show you how to configure the Opportunities menu to best suit your activity.

  • First, it is possible to automate the probability of success based on the selected status. When users indicate the status of an opportunity, the probability of success will be automatically completed, according to the parameters you have decided as a company. For example: when an opportunity is in the first state, the probability of sale might be 10%. This way, subjectivity and different levels of optimism or pessimism among team members are avoided. The entire team would follow the same criteria.

  • Secondly, it is possible to geolocate opportunities. An excellent example of activating this functionality would be in a construction company as representatives usually go to construction sites (geolocated opportunities) and not to clients’ offices (companies).

  • Finally, you can customize the standard literals and add custom fields.
