What is the Documents Menu?
The Documents Menu is used to manage your company’s specific documentation within ForceManager. For example, you can upload templates, training materials, and schedules. These documents are shared with all company members so they can access them easily.
A good practice to ensure effective menu management is to have only a few people in charge of organizing and keeping it updated.
How to add documents?
To add a document or organize the menu, click the “plus” button. From here, you have several options: you can create folders to hold your files, add images, upload PDFs, videos, Excel files, and scan documents using your mobile camera with ScanCard.
How to view documents?
There are several ways to view them:
• From the “List” tab, where the entire team will see the same files.
• From the “Recent” tab, each user will see their last opened documents.
• From the “Favourites” tab, where each user will see their marked favourite documents.
Other options in the Documents Menu
You can rename, share, mark as favourite, and delete a document by clicking on the arrow icon to the right of the document. If you want to review the document, click on the name to download it.
Documents Configuration
Through the Documents Menu, you can configure the following functionalities:
• You can limit folder visibility based on security level or different environments:
• Assign security levels to users (from 1 to 5).
• Configure folders in a specific environment. Thus, only users within that environment can access the documents in its section, for example, sorting documents by country.
Additionally:
• If you work from an iOS device and scan a document, it will be automatically converted to PDF.
• If you work with an Android device, the scan will be saved as a PNG image.
• The maximum upload limit in the menu is 10 gigabytes + 50 megabytes per user.
• The document limit is 100 megabytes.
