FAQ Sage50 UKI and Sage Sales Management

What is the Sage50 UKI Connector and What Does it Offer?

The Connector is a tool that integrates and synchronises data between Sage50 UKI and Sage Sales Management.
It ensures that key entities such as customers and contacts, invoices, users (as Sales Representatives), and products are kept up-to-date across both platforms.
Synchronisations run in 15-minute intervals. Depending on the technical needs and specifics of each Sage type (ES, UK, FR), the frequency can be configured.

How does the two-way sync work for Accounts/Customers?

  • Customer accounts are synchronised one-way (from Sage50 UKI to Sage Sales Management).

  • Potential Clients are synchronised bidirectionally (Sage Sales Management <> Sage50 UKI).

  • Customers coming from Sage50 UKI to Sage Sales Management are marked as read-only to prevent edits from syncing back to Sage50 UKI.

  • Potentials can be captured in Sage Sales Management and are marked as "potential" so they can continue to be edited in Sage Sales Management, except when they synchronise with Sage50 UKI and are marked as "customer."

  • The Sage50 UKI field serves as the unique identifier for each record, and the same company code is used in Sage Sales Management.

  • Deletions are not propagated from Sage Sales Management to Sage50 UKI.

What happens to Sales Orders and Quotations?

  • Quotations can be created in Sage Sales Management and then sent to Sage50 UKI for commercial transactions and invoicing.

  • Quotations created in Sage Sales Management are initially without price logic and taxes; once created in Sage50 UKI, all this information is added, and in Sage Sales Management, the quotation is set to read-only.

  • It is important that synchronisation is as fast as possible so that the salesperson has the final quotation details during client visits.

How are Invoices handled?

  • Invoices are synchronised one-way from Sage50 UKI to Sage Sales Management, ensuring up-to-date financial data.

How are contacts integrated between Sage50 UKI and Sage Sales Management?

  • Contacts can be created on both platforms and will sync bidirectionally.

  • Modifications made to contacts on either platform will be reflected in the other.

  • If a contact is deleted in Sage50 UKI, it is marked as deleted in Sage Sales Management, but deletions are not propagated from Sage Sales Management to Sage50 UKI.

How is Product data integrated?

  • Product data is synchronised one way from Sage50 UKI to Sage Sales Management.

  • For products where stock does not apply, the field will display a dash.

  • Product images are integrated using the images present in Sage50 UKI.

  • If a product is deleted in Sage50 UKI, it will be marked as deleted in Sage Sales Management.

  • If a product is set as inactive in Sage50 UKI, it will be shown as not available in Sage Sales Management.

  • In Sage Sales Management, the base price of the product is shown without taxes or similar. This would be displayed in an additional fields section.

How does the User and Admin data sync work?

  • User data is synchronised one-way from Sage50 UKI to Sage Sales Management. This helps in managing user information efficiently.

  • For admin users, assignment is handled only during creation or when the salesrepId is null, preventing loss of visibility for the original creator.
