Note: If you have a Professional or Performance licence, see What you can do in the Import and Export menu.

On the web version of Sage Sales Management, you can import data to create or update accounts, contacts, and opportunities.

You can also export information and view import history to review results and any errors.

Prepare fields before importing

Before importing, check that Sage Sales Management has the fields you need to store the information in your file.

From Customise fields, you can add or edit the available fields according to your plan’s options.

If your file contains information for a custom field, prepare that field before starting the import.

What you need to know about environments

An environment organises users and data within Sage Sales Management.

In Starter, the environment is assigned automatically and requires no manual configuration. Advanced environment management is available in Professional and Performance.

Import or update records

The following steps use an account import as an example.

1. Select the import type

  1. Go to the data import section.

  2. Select Import accounts.

  3. Choose whether to create new records or update existing records.

2. Download and complete the template

  1. Download the template with or without data, depending on your needs.

  2. Open the file and complete the required fields.

  3. Review the information before uploading it.

The template allows you to prepare the data you will use to create or update records.

3. Upload the template and map the fields

  1. Upload the file you have completed.

  2. Map the file’s columns to the corresponding fields in Sage Sales Management.

  3. Check that each column matches the field where you want to store its data.

4. Review values and potential duplicates

Before completing the import:

  • Review any discrepancies identified during the process.

  • Correct values that do not match those accepted by the destination fields.

  • Select the fields you will use to identify potential duplicates, such as email address or phone number.

  • Review and manage the matches found.

Once you have finished reviewing, complete the import process.

Export data

You can export data from sections that offer this option, such as Accounts and Contacts.

Depending on the volume of information, the file will download directly or be sent by email.

View import history

You can view import history from the import and export menu.

Use this history to review completed processes and download any available attachments or error files.

If an import contains errors, check the corresponding file to identify which data needs reviewing.
