Manage the Marketing Status of Accounts and Contacts

Manage the Marketing Status of Accounts and Contacts, view its change history and understand how different events affect recipient consent.

Written by Product Learning

Introduction

The Marketing Status determines whether an Account or Contact can receive email campaigns from Sage Sales Management.

You can update this status in bulk from list views or individually from the record details. Every change is automatically recorded to maintain a complete audit trail of recipient consent.

Update the Marketing Status from a list

To speed up the initial setup, you can select multiple records in a list and use the Mark as subscribed action.

Before applying the change, the system asks you to confirm the action. Once confirmed, the Marketing Status is immediately updated for all selected records.

Manage the Marketing Status from the record details

In addition to list views, the Marketing Status is also available in the details of every Account and Contact, within the standard fields section.

Users with edit permissions can change the status using a drop-down list with the following options:

  • No consent

  • Subscribed

  • Unsubscribed

Users without management permissions can view the Marketing Status but cannot modify it.

View the change history

Every manual change made from the record details is automatically recorded in the change history.

To ensure full traceability, the system keeps a detailed record of every modification made to the Marketing Status.

Next to the Marketing Status field, you will find the View history (n) link, where n represents the total number of recorded changes, excluding the initial status assigned when the record was created.

Selecting this link opens a panel displaying the complete timeline of all recorded changes.

Information available in the history

The history displays the following information for each change:

Field

Description

Resulting status

The Marketing Status after the change (Subscribed, Unsubscribed or No consent).

Change date

The date and time when the change was made.

Changed by

The user, the audience (the recipient themselves) or the system when the change is performed automatically.

Source

The channel or reason that triggered the change.

The history identifies the source of every Marketing Status modification.

The most common sources are:

  • Manual, when a user changes the Marketing Status individually from the record details or a list.

  • Bulk update, when multiple records are updated at the same time.

  • Email Campaign, when a recipient unsubscribes using the unsubscribe link included in a campaign. In this case, the history displays the text Unsubscribed from email campaign together with a link to the campaign details.

  • Bounce, when the system automatically marks the record as Unsubscribed after detecting a bounce during delivery.

  • Spam report, when the recipient marks the message as spam in their email client.

  • Dropped, when the email cannot be delivered and the system automatically updates the Marketing Status.

  • Default status, corresponding to the status assigned when the record was created, for example No consent.

Important

In the event of a Bounce, Spam report or Dropped email, the system automatically changes the Marketing Status to Unsubscribed in order to protect your domain’s reputation for future deliveries.

When the source of the change is Bounce or Dropped, it is recommended to review the record’s email address and correct it if necessary before updating the Marketing Status again and including the recipient in future campaigns.

Result

You can now manage the Marketing Status from both list views and the details of Accounts and Contacts, review the complete history of changes and identify the source of each update to maintain accurate control of recipient consent.
