Before you start
Before preparing your recipients, make sure that:
Email Campaigns is configured for your organisation.
You have permission to manage Accounts or Contacts.
Your records contain valid email addresses.
What is Marketing Status?
Every Account and Contact includes a field called Marketing Status.
This field determines whether a record can receive email campaigns.
Available statuses
Status | Description |
Subscribed | The record can receive email campaigns because the appropriate consent has been provided. |
Unsubscribed | The record has requested to stop receiving marketing communications and will automatically be excluded from future campaigns. |
Without consent | Default initial status. The record cannot receive email campaigns until consent has been confirmed. |
Access subscriber management
Go to:
Campaigns → Email Campaigns
During the initial setup, you’ll find the option:
Configure subscribers
From this section, you can access the list of Accounts and Contacts to prepare the recipients for your email campaigns.
Manage Marketing Status
Subscribers can be managed from both Accounts and Contacts.
From this screen, you can:
view the current status;
filter records;
update statuses;
select multiple records.
Prepare records for email campaigns
From the subscriber management page, you can:
review the Marketing Status of each record;
filter Accounts and Contacts;
select multiple records;
update Marketing Status in bulk.
Change the status of an individual record
To change the Marketing Status of a single record:
Click the current status.
2- Select the new available status.
The changes are applied immediately to the record.
Bulk subscriber management
Email Campaigns allows you to update multiple records at the same time to speed up the initial campaign setup.
Update multiple records
Select the records you want to update using the selection checkboxes.
Once selected, additional actions become available to update their Marketing Status.
Mark records as Subscribed
Select Mark as Subscribed to update the Marketing Status of all selected records.
Before applying the change, the system asks you to confirm the action to prevent accidental updates.
Once confirmed, all selected records are automatically updated to Subscribed.
Confirm bulk updates
Before applying the changes, the system requests confirmation.
This helps prevent accidental changes affecting large numbers of records.
Once confirmed, all selected records will automatically display the status:
Subscribed
Setup completed
Once your subscribers have been prepared, this step is marked as complete in the Email Campaigns initial setup.
You can now create recipient lists and start designing and sending email campaigns.
Important
Email Campaigns only sends campaigns to records whose Marketing Status is Subscribed.
Records with either of the following statuses:
Unsubscribed
Without consent
are automatically excluded from all campaigns.
Best practices
To keep your database ready for email campaigns:
only use records with valid marketing consent;
review unsubscribed records regularly;
avoid performing bulk status updates without checking the selected records first;
keep email addresses up to date;
segment recipients before creating a campaign.
