What is a role in Sage Sales Management?

Understand roles and permissions and how they determine what users can do and which information they can view in Sage Sales Management.

Written by Jon Trasobares

A role is a set of permissions that you can assign to one or more users according to their responsibilities within the company.

Permissions determine which actions a user can perform and which information they can view.

What a role allows

Depending on its permissions, a role can allow users to:

  • Create or edit accounts, contacts, and opportunities.

  • View other users’ records.

  • Access information from other environments.

For example, you can assign a sales team a role with the permissions needed to manage their customers and opportunities.

The difference between a role and a permission

Concept

Meaning

Permission

Authorises an action or access to specific information.

Role

Groups permissions so you can assign them to users.

A user can have several roles assigned. From their record, you can view the available permissions and identify which role grants each one.

How roles relate to environments

Environments organise your company’s records into separate groups. Roles and their permissions determine the user’s access to that information.

Access to an environment does not grant every action on its records. You also need to review the permissions for each entity.

For example, a user may be able to view accounts from another environment but need additional permissions to edit them.

Where to view roles and permissions

In Sage Sales Management Admin, you can:

  • Open Permissions to view the available roles and the permissions each one includes.

  • Open Users to review or change the roles assigned to a person.

To review a user’s roles, open their record, select Edit, and go to Roles and permissions.
