Automations: how users receive notifications

Learn how automations notify users about new assignments and changes to their records, helping them continue their work.

What are automation notifications?

Automations perform actions without your intervention. Their notifications help you keep track of changes that affect your work.

For example, an automation can assign you an account or create a follow-up task for you. The notification tells you what needs your attention.

Record owners and followers can receive notifications when an automation:

  • Creates a record related to them.

  • Updates a record they own or follow.

  • Assigns them an account, opportunity, task, or event.

Example: a new account for a sales representative

Your organisation sets up an automation that assigns new accounts to the sales representative for each region.

When an account meets the conditions, the automation assigns it to the relevant sales representative. The sales representative receives a notification with the account name.

They can then prepare their follow-up without waiting for a colleague to tell them about the assignment.

What do notifications look like?

You can receive notifications by email, through mobile push notifications, and in the notification centre.

The available channels depend on your automation settings and individual preferences.

Email notifications

The email explains the change and identifies the affected record.

For example, you might receive an email about a new account assignment. Select Check now for more information.

Mobile notifications

Push notifications display the alert on your iOS or Android device.

For example, you might see a notification about a new account assigned to you, as this iOS screenshot shows.

You can also view notifications within Sage Sales Management.

On the web, select the bell next to your avatar. In the mobile app, view your alerts on the Notifications screen.

Messages identify the record and the change, such as an account assignment or an opportunity update.

Keep notifications enabled

We recommend keeping notifications enabled so sales representatives know about new assignments and changes that affect their work.

By default, the system enables notifications for all available channels and entities.

If an automation generates too many alerts, you can disable notifications for a specific entity within a particular channel.

For example, an integration might trigger frequent opportunity updates. You can disable those emails while keeping event and task notifications.

Who can configure notifications?

Only the automations administrator can change these settings.

Changes apply to all automations and affect all users in the organisation.

How to configure notifications

  1. From your avatar, open My profile and configuration.

  2. Select Automations.

  3. In the list, select Notifications, next to Create.

  4. Select or clear the checkbox for each channel:

    • Email notifications.

    • Mobile notifications.

    • Notifications Centre.

  5. To configure a channel’s entities, select the arrow on its right.

  6. Select or clear the relevant options:

    • Accounts.

    • Opportunities.

    • Events and Tasks.

    • Activity.

  7. Select Save changes.

You can disable an entire channel or keep it enabled for specific entities. Changing one channel does not affect the others.

Important note: Disabling these notifications does not stop automations. Automations continue to perform their actions according to each workflow’s settings.

How individual preferences affect notifications

Individual notification preferences take precedence over automation notification settings.

If a user disables system notifications, they will not receive automation notifications either, even if the administrator enables them here.

What if an automation fails?

These notifications tell you about changes to your records. For example, they let you know when an automation assigns you a task.

If an automation fails, the system sends an error email so you can investigate the problem.

Disabling notifications from the list does not disable error emails. You can configure these emails separately in each automation’s settings.
