What you can do in Quotes and Orders

In Sage Sales Management, you can record quotes and orders containing the products or services you offer your customers.

Each record brings together commercial details, products, amounts, and related documents. Its status allows you to track progress through the sales process.

You can link orders to accounts, contacts, and opportunities to keep information connected.

This collection has three sections to help you create and manage orders, understand their amounts, and share documents with your customers.

Create and manage orders

To create an order, complete its general details and add the products you want to include.

You can select products from the catalogue or use the search tool. Then adjust the quantities, prices, and discounts for each line.

If you use price lists, you can select the appropriate one for the order. The system recalculates unit prices and discounts for the affected lines.

Once the order is created, you can edit its details, add a shipping address, and find it using searches and filters.

You can create and manage orders on the web and mobile app, with differences depending on the device.

Review amounts and settings

The financial summary allows you to review the main amounts without checking each order line.

The information available depends on your configuration:

Item

How it works

Subtotal and discounts

Show the document amount before discounts and the total discounts applied.

Taxes

When the feature is active, taxes are calculated using the customer’s tax profile and the product’s base tax type.

Transport costs

These are added using Transport products and form part of the document total.

Final amount

Shows the resulting order amount.

Decimal places

Determine how values are displayed and rounded according to the data type and applicable settings.

The transport costs field identifies the amount related to transport. It is for information purposes and does not add this amount to the total again.

The financial summary updates automatically when you modify the order.

Share documents and request signatures

From the order record, you can share reports with customers, contacts, or other recipients.

On the web, you can choose PDF, XLS, or DOC format and select a registered contact or enter an email address.

You can also request a signature for the order sheet. Recipients can sign in the app or through a link received by email.

Sage Sales Management allows you to check the status of the signing process.
