How Smart Fields work
Smart Fields let you define a field’s behaviour according to the value selected in another field.
This relationship involves:
Reference field: must be a single-selection or multiple-selection field. Its value determines which configuration applies.
Influenced field: receives the configuration defined for each value of the reference field.
For example, when Account type is “Distributor”, you can make a sales information field mandatory.
Access the configuration
Open Sage Sales Management Admin.
Go to Fields and select the relevant entity.
Find the field whose behaviour you want to configure.
Hover over its row and select the pencil icon.
Expand Dynamic visibility settings.
Locked properties display a padlock. Configure only the options available for that field.
Select the reference field
Under Field that controls visibility, select the single-selection or multiple-selection field that will determine the behaviour.
Enable Specific configuration by value. The Values section appears with the reference field’s options.
Find the value you want to configure and open its options.
Define the behaviour for each value
You can configure four properties of the influenced field:
Property | What it determines |
Read-only | Whether the user can change the field’s value. |
Mandatory | Whether the field must be completed before saving the record. |
Visible / Not visible | Whether the field appears in the form. |
Default value | The value entered initially. |
Repeat the configuration for the values you need and select Save.
The default value format depends on the field type:
Field type | Default value |
Text | Free text. |
Integer | A whole number. |
Decimal or currency | A whole or decimal number. |
Boolean | True or false. |
Value list | An option from the associated list. |
Date and time | A date and, where applicable, a time. |
Address | Does not support a default value. |
How the configuration applies
Values without a specific configuration
When the selected value has no specific configuration, the field’s general configuration applies.
Multiple-selection fields
If the reference field allows multiple selections, each value can have a different configuration.
Compatible configurations apply together. If the selections produce conflicting configurations, the field’s general configuration applies.
Relationships between several fields
A reference field can influence several fields. However, each influenced field can depend on only one reference field.
You can also chain relationships: an influenced field can become a reference field for another.
For example, the account type can determine the vehicle type, which can then determine the insurance details.
Special case: orders and order lines
An order field can determine the behaviour of fields in its order lines.
The relationship works from the order towards its order lines.
For example, when the order status is “Paid”, you can make specific fields in its lines read-only.
If you configure an order line field as not visible, the result depends on the application:
On the web, it remains visible in the order lines table but becomes read-only.
In the mobile app, it is hidden when the condition is met.
Check the configuration
After saving:
Open a form for the relevant entity.
Select a reference field value with a specific configuration.
Check the influenced field’s behaviour.
Also test a value without a specific configuration.
For multiple selection, test compatible and conflicting combinations.
Verify the result on web and mobile where applicable.
